How to Add a Fee Schedule

Users define fee schedules for their clients in BillFin so that BillFin knows how to calculate the client's fee. There are a couple ways to add a fee schedule in BillFin. The Fee Schedule page, found under the gear icon in the top right of BillFin, allows users to quickly create fee schedules and assign them to clients in bulk. It is also possible to upload fee schedules for clients on that page by using the offered template. The upload is a great option to save time when entering fee schedules for the first time, during or immediately following onboarding. We don't recommend using the upload option if you have previously created fee schedules and assigned clients to fee schedules, however.

Users can also edit a client in order to: assign that client to a pre-existing fee schedule; or even create a new fee schedule for that client. Below are the different steps to add a fee schedule for your client/accounts.

*Every client should be assigned a fee schedule and at least one of the client's accounts needs to use the client's fee schedule. By default, newly assigned accounts will adopt the fee schedule of the client to which they are assigned (as well as the client's other billing setup options), but an account can be given a different/unique fee schedule. We use the term Special Pricing to describe when an account doesn't use the client's fee schedule.



Fee Schedule Page:
- Click on the gear icon in the top right of the screen in BillFin
- Click on Fee Schedules in the gear menu


- Click Add a Fee Schedule


- Select Flat or Tiered
- Insert rates (if tiered, select Blended or Unblended and use green plus sign or red minus sign to add or remove tiers)

- Add a Name
- Move clients from the Available box to the Selected box on the right to assign them to the fee schedule


- Click Assign and Save


- Save for the desired cycle


Client Details:
- Navigate to the Clients or Fees page
- Hover over the pencil next to the client
- Click "View Client Details"

- A slideout window will open, click the pencil icon next to "Client Details"


- Click the drop down arrow under "Fee Schedule"
- Select existing fee schedule or "Custom Fee Schedule" to create new fee schedule


- Click save at the bottom
Save for the desired cycle

Account Special Pricing:
- Hover over the pencil next to the client
- Click "View Client Details"


- In the slideout window, click the pencil icon next to account in the "Accounts" section


- Click the drop down arrow under "Fee Schedule"
- Select "Use special pricing for this account" and create a new fee schedule


- Click save at the bottom
